We welcome individuals enthusiastic about sharing their work, whether it comprises original research findings, case studies, theoretical perspectives, or innovative methodologies, to join us. Abstract submissions should focus on topics aligned with the central theme of WCRT 2025.
Accepted abstracts will have the opportunity to be presented either in person at the congress venue or online. It is a unique opportunity to engage with peers, gain constructive feedback, and foster collaborations that can drive meaningful advancements in your respective fields.

IMPRESS Privacy Policy of Personal Data collected for the training evaluation questionnaire
Personal data collected
Some personal data of the participants in the survey is securely collected by the project (e.g. first name, family name, age, gender, organisation name, role in the organisation, professional email address).
Purpose of data collection
Personal data is collected by means of a form filled in voluntarily by people who have attended the training course(s). This data will be used by the IMPRESS project partners solely for activities related to the purposes of the project. Specifically, it will be used to evaluate and improve the training courses.
Liability
Participants in the survey consent to participate in this activity on a voluntary basis.
Responsibilities
The processing is carried out by the International Union of Railways as data controller.
Data retention period
Personal data will be kept for a maximum duration of one year (until the end of the project).
Data hosting
Data is hosted in Paris, France, under GDPR legislation.
Right of access, rectification, restriction, portability and deletion
In accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (hereafter referred to as the “European General Data Protection Regulation” or GPDR), as well as French law no. 2018-493 of 20 June 2018 on the protection of personal data, the user has the right of access, rectification, restriction, portability and deletion of his/her personal data. This can be achieved by sending an e-mail to: security@uic.org.
IT security and organizational measures
The online questionnaire is hosted on secured servers.
Native encryption of passwords is performed by the application. Administrators do not have access to passwords.
The software and physical infrastructure used to host our websites are designed to guarantee absolute data security (antivirus, switches, routers, servers and redundant firewalls).
The application is backed up daily over 14 days, monthly over 12 months and annually over 5 years. It is therefore possible to request a restoration of the file(s) under certain conditions.
Web and IT teams are regularly made aware of and trained in the protection of personal data and cyber security.
Cookies
When you consult this website, data on traffic and cookies files is stored on your computer to analyze visits to the website’s information pages internally so that we can improve content and to compile statistics (pages visited, time visited, etc.). These data are anonymized according to the French and European legislation. They are deleted one month after visit.

Full Paper and Presentation Submission
Rules and Guidelines
Applicant Speakers (Applicants) should submit the full paper and presentation according to their Proposals (“Abstracts”). The selected Applicant will be the Speaker in charge of delivering the presentation in person during the congress.
Committee Discretion
If after selection on the basis of their Proposal, the Applicant’s Presentation is not consistent with their Proposal or not compliant with the rules and guidance, the Scientific Committee will be entitled to ask the Applicant to make changes, or in extremis, decline the Proposal.
If your Abstract is accepted as a paper for presentation, you will be expected to submit a full paper and to attend the Congress to present it, either in-person or online. Should the Applicant not be available to present to the Congress, he/she shall advise the Scientific Committee and nominate a suitably qualified alternative for approval. The Scientific Committee reserves the right to decline the proposed alternatives and cancel the Presentation.
The Scientific Committee may reject any Abstract which does not comply with the rules and the schedule of this Call for Papers without having to justify the decision.
Speaker rates
Being selected as a Speaker grants access to the Congress at discounted Speaker rates.
However, please note that travel reservations and accommodation expenses will remain the responsibility of the Speakers regardless.
Timeline
Confirmation of Accepted Abstracts: 06 August 2024
The Scientific Committee inform each Applicant of its decision by e-mail. At the same time, instructions will be sent about the required format for the full paper and presentation.
Deadline for Full Papers & Presentation Submission: 15 November 2024
Full papers and presentations of the selected Speakers must be handed before the deadline.
Presentations must be in English and produced in PowerPoint format. Each presentation is limited to 15 minutes and 12 slides including title slide and the final slide.
Slides should highlight key facts, dates and graphics illustrating the paper and avoid repeating long texts.
Confirmation of Accepted Presentation: 30 January 2025
Speaker may be asked to accept changes requested by the Session Chair so as to ensure consistency between sessions and avoid repetition.
Abstract requirements
A list of Themes and Topics is suggested here. Applicants should preferably use them.
During the Abstract submission, Applicants are asked to describe the content of their research, please provide details of the following:
- Link with the chosen theme and topic
- Summary of challenges addressed
- Methodology Employed
- Results or expected results
- Novelty of the research or practice
- Progress so far and/or implementation plan
- Desired outcome and impact of research for key beneficiaries
- Potential for international collaboration
Abstract text length
The Abstract’s total length consists of the combined word count of all paragraphs covering points 1 to 8 mentioned above. It should be 500 words or less and must be written in English.
Extent of content originality
If you are submitting a paper on a subject that you have presented at previous WCRT congresses, then the paper must focus on the new developments since then. Commercial papers (i.e. advertising a product) will not be accepted so please emphasize the research content in your Abstract.
Obligations
Warrant that you have the necessary rights, permissions, and/or licenses to grant to the Congress Organisers the right to use your paper and presentation as set out in these terms.
Acknowledge that accepted speakers must complete conference registration and payment by the due date.
