Privacy Policy concerning Call for candidates

As part of its own recruitment policy, and that of its subsidiaries, Editions Techniques Ferroviaires (ETF) and UIC-Patrimoine (UIC-P), the International Union of Railways (UIC) collects the following personal data from the candidates who respond to their job advertisements:

  • First name, surname, email address, telephone number
  • CV and letter of motivation

The data collected is processed by the UIC Human Resources Department with the aim of gauging the capacity and professional skills of a candidate in taking up a position by:

  • Handling the applications (receiving, saving and sorting the CVs and letters of motivation)
  • Organising the HR and department interviews
  • Creating a pool of candidates

This is therefore carried out by the International Union of Railways (UIC), located at 16 rue Jean Rey 75015 Paris, in its capacity as a data controller.

Data must be provided by the person in question in order to manage the recruitment process for the above-mentioned purposes, in order to legally carry out pre-contractual procedures and establish a contractual relationship between the recruiting organisation and the job applicants.

The data of successful candidates will be included in their administrative file and kept for the period applicable to that file (up to 5 years after the end of the working relationship).

The data of unsuccessful candidates will be kept for two years from the final form of contact with UIC in order to create a pool of candidates to offer them, if appropriate, new employment opportunities based on their legal consent.

The data collected during the recruitment process is handled in a confidential manner. The Human Resources Department and the managers of the future candidate are the only internal recipients of this personal data. If the recruitment process is successful, some personal data will be sent by the Human Resources Department to external bodies informing them that a candidate has been hired (the job centre, social security contributions via URSSAF, etc.)

The data controller undertakes not to send personal data outside of the European Union as part of its data processing operations.

As a candidate, you have the right to access and amend your personal data. In addition, if you have a legitimate reason, you have the right to delete, restrict or object to the processing of your data. You also have the right to the portability of your data. To exercise these rights or if you have any questions about the processing of your data during the recruitment process, please contact rh@uic.org

If, after having contacted us, you deem that your rights have not been respected, you may raise a complaint with the French Data Protection Authority (Commission nationale de l’informatique et des libertés - CNIL)

By applying, you automatically accept this privacy policy.
